1 January 2027 · Digital Waste Tracking mandate

Your internet goes down.Your weighbridge keeps running.Every ticket still reaches DEFRA.

WasteSync is the offline-first backup for your weighbridge. When the network or the regulator’s API drops, it keeps capturing a compliant record for every load and files it to DEFRA the moment you’re back online.

The paper hard-stop for DEFRA-regulated sites.

When the mandate lands, a load with no digital record is a load you can’t legally accept. Scottish sites under SEPA follow a little later.

The three ways that record fails today:
Broadband drops

The gatehouse loses its line and the cloud form won’t submit.

Poor mobile signal

Rural sites have no reliable 4G failover to fall back on.

Regulator API down

Even with signal, DEFRA’s service can be unavailable when you need it.

Standard cloud tools fail the moment the signal does.

Legacy waste tracking software assumes a live connection to submit every note in real time. On a remote weighbridge that assumption breaks constantly, and the operator is left re-keying paper, queuing trucks, or turning loads away. WasteSync removes the connection from the critical path.

WasteSync catches every ticket, then files it for you.

01

Capture on any device

Operators scan the driver’s QR code on a tablet, kiosk or phone. The ticket fills itself in, online or off.

02

Encrypt in the local vault

Every record is encrypted and saved on the device first, so nothing depends on the network to be safe.

03

File to DEFRA automatically

The instant a stable connection returns, queued tickets sync to the app backend and on to the government API, so no one has to remember.

Scan the QR code. The ticket fills itself in.

Carriers and regular customers carry a WasteSync QR code. One scan pulls in the account, carrier, vehicle, waste code and producer, so the operator only confirms. The weight comes straight off the weighbridge. Manual entry is limited to the few fields your site chooses.

One scan per load, no typing at the gate
Weight read directly from the weighbridge
Manual weight or account entry only if your site needs it

A separate back office for the people who run the site.

The WasteSync back office is its own application for the admin team: live monitoring of every ticket and DEFRA submission, account and permit administration, site analytics and exports. Gate operators never need to see it.

Print a complete Waste Transfer Note from any device, with the same ticket ID and signatures as the digital record. Ready for drivers, spot checks or a full outage.

Pick the tier that fits your gate.

Every tier starts with a free 14-day pilot. Press a tile to open it.

Prices exclude VAT. Toughened Samsung tablets available if you don’t have suitable hardware.

Answered before you ask.

Do we need custom hardware?

No. WasteSync runs locally in the browser on your existing kiosk, laptop or tablet: if the browser is open, the system is fully operational. If you don’t have suitable hardware, we can supply toughened Samsung tablets.

How long can it run completely offline?

Indefinitely. The local vault has no storage expiry. It accumulates tickets and signatures, then syncs them in order the moment a connection is detected.

What does a pilot involve?

It starts with a journey-mapping workshop to find where WasteSync can optimise your process, then we install and run in parallel with your existing process for two weeks.

One trusted record, from the gate to final processing.

We start at the weighbridge, where the deadline bites first. The same record is built to travel: captured at the receiver today, extended to producers and processors next.

We run up to five pilots at a time. We’ll assess your application and tell you honestly if WasteSync is right for your site.
